How to Create Your Signature in Outlook

  1. In Outlook, go to "File>Options>Mail>Signatures” (Windows) or "Outlook > Preferences > Signatures” (Mac)
  2. Select and copy the sample signature below using Control+C (Windows) or Command+C (Mac)
  3. Paste the sample signature into the Outlook Signatures window using Control+V (Windows) or Control+V (Mac)*
  4. Enter your information into the template, and delete any of the fields you do not wish to use
  5. Confirm that the font style is Arial size 8 or 9 (color: 53565A
  6. For the name and links you can use blue (HEX color #0077C8). We recommend bolding the name.
  7. For guidance on adding pronouns, read the Pronouns Style Guide
  8. To have your signature appear automatically on all e-mails, click “default signature,” select it from the drop-down menu, and close the window

Your signature is now saved and will appear when using the “Signatures” button on any new e-mail message.

Below is recommended language. Please amend as you prefer.

*If you are using an iPhone, after pasting the signature, shake the phone to cancel any reformatting.
