ICAP Asset Management Procedure

Per Columbia University's Registration and Protection of Endpoints Policy, all endpoints must be registered with CUMC IT. An endpoint includes:
- Communication Device (Smartphones and Tablets)
- Computers(Desktops, Laptops and Windows Tablets)
- Modalities (Network connected clinical, diagnostic and lab equipment)
- Multimedia Device
- Printer
- Server
- Storage Device
Registration and ongoing inventory management of endpoints is handled through CUMC’s Service Now application. As part of MSPH, ICAP is also now required to log assets in the Service Now Portal.
To this end, Service Now Accounts have been created for all heads of IT within the ICAP country offices. If you have not received credentials for your Service Now account yet, please contact Sandro Rodriguez at sr2983@cumc.columbia.edu.
The Asset Management module within Service Now is easy to use. Once you login to the application, use the left sidebar navigation to locate “Asset Inventory.” Click on “New” to add an item to the inventory and then follow the prompts to enter the relevant information. Note: For “Department” please select ICAP <your country>.
Compliance Requirements
- All new endpoints must be registered in Service Now before being distributed to the end user.
- The asset record must be kept current throughout the life of the endpoint. Updates may include new user, new owner (rare) change in location, retirement, and disposal.
Pre-existing Endpoint Management
At some point, all ICAP endpoints will need to be added to the CUMC IT inventory. Central MSPH IT is working with CUMC IT on a batch upload arrangement. Details to follow.
